Job Opportunity:  Grief Café and Program Support Coordinator

Location: various locations from Charlotte County to Sussex

Reports To: Operations Manager 

Position Type: Part-time 15-22.5 hours a week (could lead to full time)

Pay: $20.00/hour plus mileage

The Grief Café and Program Support Coordinator plays a key frontline role in creating a warm, welcoming, and supportive environment for clients accessing grief and mental health services. This position supports the day-to-day operations of the Grief Café, assists with grief support programs, and provides administrative program support to ensure the smooth delivery of services. This role is ideal for someone who is compassionate, organized, and committed to supporting individuals, navigating grief and loss.

Key Responsibilities:

Grief Café Support:

 Greet clients and guests warmly, ensuring a compassionate and respectful experience.

 Create connections and conversations between members

 Prepare and serve light refreshments (e.g. coffee, tea, snacks).

 Maintain cleanliness and organization of the café area.

 Monitor the space for comfort, safety, and accessibility.

 Create a calming, non-clinical atmosphere conducive to healing and connection.

 Provide weekly report on attendance, feedback and metrics

Program Support:

 Provide logistical support for grief groups and workshops (set up space, prepare

materials, assist facilitators).

 Support in the process for new clients by registering participants, confirming

attendance and following up as needed.

 Assist in gathering feedback and evaluations from participants.

 Offer general support during programming hours, including welcoming

participants and ensuring needs are met.

Administrative Duties:

 Answer phone calls and respond to emails in a timely and professional manner for all charity programs (café, groups, community outreach).

 Maintain accurate records, registration forms, attendance logs, and other documentation.

 Assist with reporting and other administrative tasks as directed.

 Coordination of volunteers

 Provide inventory of supplies for Café & groups

Qualifications:

 Experience in customer service, hospitality, or community support role.

 Strong organizational and communication skills.

 Ability to maintain confidentiality and work with sensitive information.

 Empathetic and compassionate approach to client interactions.

 Proficient with basic computer applications (Microsoft Office, email and Social

Media).

 Has a reliable vehicle and can travel between Sussex and St Stephen

 Comfortable working independently and as part of a team.

 Feels comfortable receiving and accepting direction.

 Enjoys working with Volunteers

Assets (Not Required):

 Previous experience working in grief support, mental health, or a community non-profit setting.

 First Aid or Mental Health First Aid training.

Work Environment:

 This role is approx. 70% travel and 30% in the Saint John Office

 Requires light physical tasks (setting up chairs, carrying light supplies, shopping).

 Evening or Weekend availability may be required for events or programs.
